I am continuing to list the tools we use in our businesses so you can benefit from them too. Most of the services I am posting are free — or they cost very little money. My goal is to save you tons of time and money as it took us years to find these tools. Previously we used eFax which worked great but they charged around $10 per month even if you didn’t send a fax. Then we were lucky enough to find Faxaway.com — they only charge you for the time you use and if you are faxing to 800 toll free numbers, they don’t charge you anything.
You can send faxes right from your emails, all you do is enter the number @faxaway.com and send it from the email you are registered with, and they send the email as a fax for you. Since we use Netsuite Small Business for our accounting, Faxaway plugs right in and we can fax invoices direct from our Netsuite account. Sometimes it is easier to reach someone by fax — especially if your emails are not getting through.

We have been testing Grand Central since before Google bought them. It is an amazing service — they give you a free phone number that allows you to do a plethora of really cool things. You can make it ring multiple numbers at the same time (home and office for example), your voicemail is sent to your email and you can login to check them and manage them which is really cool. You can even block unwanted numbers, send certain calls direct to voicemail — they even have a cool feature that allows you to send numbers to a “disconnected” tone so the caller thinks your phone got turned off!
It is a great way to screen calls, you can make it request the caller’s name before it puts the call through so you know who is calling. When you login to your account, you can go through your messages, forward voicemail via email, archive it, and a lot more. You can even record calls, have multiple greetings, call someone back right from your web page, switch a call from one phone to the other, and more.
They have a really cool feature that lets you listen in to a voicemail and then join the call if you want — people are always shocked when I do this because they are leaving a voicemail, then I break into the call!
Give it a try, its free, and I guarantee that you will be giving this number out instead of your cell phone from now on! I think at this point you have to reserve a number and wait for them to get back to you…but it is worth the wait!

We use Google Docs for everything, spreadsheets, word docs, power point presentations, and more. The best thing about them is that you can use them from ANYWHERE, everything is online through your Google Account. You can share, publish, and collaborate on spreadsheets. We do sales reporting, time sheets, work schedules, and a lot of other things on there. You don’t have to search for Excel files on your main computer anymore, just go to Google Docs, and everything is searchable in one place.
